USE CASES / BACK OFFICE

Everything that lands in the mailbox, read and filed by nine.

Supplier invoices, receipts, delivery notes, signed protocols from the field, the odd contract: whatever arrives by mail, scan or photo is read, checked against what you already have, and filed where it belongs. Nothing is retyped. Anything unclear comes to you as one question.

Invoice 2026-0412 from Baxter Supplies says 1 840 €. The delivery note behind it says 1 640 €. Book the invoice, or hold it and ask them?

WHAT IT TAKES OVER

Five things that arrive, and where they end up.

What each one takes a person today, and what is left of it afterwards. The last one is the one that usually sits in a drawer.

WHAT REACHES YOU

Two things a week. Both about a document that did not add up.

187 documents were read and filed last week without anyone looking. You heard about an invoice that did not match its delivery note, and about a protocol from the field signed by nobody. The rest went where it belongs, with the original attached.

A question waits. Booking an invoice that disagrees with its delivery note is your call, not the agent’s.
A report does not. The filing already happened, the folder is already where your accountant looks.

WHAT IT NEVER DOES

Reads everything. Deletes nothing.

It never deletes an original

Every scan, photo and PDF is kept exactly as it arrived, next to what was read out of it. If a number was read wrong, you can see the page it came from, a year later too.

It never guesses a number

A smudged total, a missing VAT ID, a date that reads two ways: it stops and shows you the spot on the page. A document it is not sure about is never booked as if it were.

It never answers a customer on its own

It sorts the mailbox and drafts the reply. Sending it is a person’s click. The mailbox is yours, and so is what leaves it.

WHAT IT COST, WHAT IT SAVED

One desk. One month. To the cent.

Every run is written down with its cost and the time a person would have needed, at an office wage, honestly. Including the one job on this desk that is not worth it yet, and what would fix it.

These are our own books first. That is where the numbers come from.

Handwritten field protocols cost more than they save. Every technician writes differently, so the agent reads each one at 0.42 € a minute. A phone form with four fields would make it a script. Either way, you saw it here first.
